Privacy policy

The categories of information we may collect:

• Identity and contact: name, email, phone, mailing address, household members listed on a rental application.
• Applicant information: date of birth, government ID number, employment + income, rental history, screening responses, and authorization to run tenant screening.
• Tenant and lease data: lease terms, payments, maintenance requests, communications with our team. Most of this lives in our property management system (AppFolio) and is mirrored to your portal.
• Owner data: property details, ownership records, banking details for ACH disbursements, tax information.
• Site usage: pages visited, search filters, IP address, device + browser metadata. Used in aggregate to improve the site.
• Account credentials: login email and password (stored hashed). We never see your password in plain text.

• To process rental applications, including running tenant screening with our authorized vendor.
• To service active leases: payments, renewals, maintenance, notices, statutory disclosures.
• To send owners performance reports, invoices, and disbursements.
• To respond when you contact us through the website, email, or phone.
• To prevent fraud, secure accounts, and meet legal obligations under Washington landlord-tenant law and federal Fair Housing rules.
• To improve site usability: understanding which listings and pages people interact with so we can prioritize accordingly.

We do not sell personal information. We share only with vendors and parties that help us operate, and we require contractual safeguards from each:

• Tenant screening providers: only with your written authorization, only for an active application.
• AppFolio: our property management system of record.
• Payment processors: for rent collection and owner disbursements. We do not store full bank or card numbers on our own servers.
• Service providers: hosting, email, analytics, contractors performing maintenance.
• Legal and safety: when required by subpoena, court order, or to investigate fraud or safety threats.

We use a small number of cookies and similar technologies to keep you signed in to your portal, remember your search preferences on the site, and measure aggregate usage. You can disable cookies in your browser; some portal features may not work without them.

• Access and correction: you can request a copy of the information we hold about you and ask us to correct anything inaccurate.
• Deletion: you can ask us to delete personal information we don’t have a legal or contractual reason to keep. Active lease records and accounting history may be retained as required by Washington law.
• Do Not Track: we don’t respond to browser DNT signals because there’s no industry standard, but we don’t track across third-party sites either.

rentalnw.com is not directed to children under 13, and we do not knowingly collect information from children. Minors who are members of an applicant household are listed only because Washington and federal landlord-tenant rules require it.

We use reasonable technical and administrative safeguards to protect personal information: encrypted transit, hashed passwords, role-based access. No system is perfectly secure; if we ever experience a breach that affects you, we will notify you as required by Washington law.

We keep personal information only as long as needed for the purpose collected, or as required by tax, accounting, and landlord-tenant statutes.

We may update this policy. The “last updated” date below reflects the most recent change. For material changes affecting current tenants or owners, we’ll notify you by email or portal notice.
